Building a custom home in Vancouver means navigating complicated permitting requirements and coordinating multiple teams of specialists. The process can feel opaque and overwhelming without the right partner.
Our 11-step process gives you complete visibility and awareness into your project, from our first conversation until after you’ve moved in. You'll know what to expect at every phase, understand how decisions impact your budget, and have expert guidance through Vancouver's unique construction landscape.
Breaking down the custom home building process
Here’s what you can expect at every step.
PHASE ONE
Establishing the Relationship

You’ll meet with Stephen Nestmann at your home or property to discuss your vision, answer your questions, and ensure we're aligned on what you want to build. This is where we get to know each other and determine if we're the right fit.

We formalize our partnership with a pre-construction agreement and engagement fee. This fee gets applied toward your project costs and allows us to begin the planning process.
PHASE TWO
Pre-Construction Planning & Permitting

We meet with you and your architect to develop the design concept and establish a preliminary (Class D) budget. This ensures your home is designed to fit within your financial parameters from the start, not after the fact.
Class D budgets are the industry standard for preparing an earliest estimate based on conceptual design. We’ll continue to refine the budget in future steps.

Your architect submits the building permit application with Nestworks listed as the builder — or, for smaller renovations, we can submit on your behalf. We also collect a construction deposit at this stage, which is applied to your final invoice.

While we wait for permits, we refine the estimate to reflect the details finalized during the permit submission — including landscape, exterior finishes, and mechanical design, which can now be tendered to subtrades. Budget certainty follows design certainty — so the decisions we make at this stage allow us to build a clearer picture of how your budget will be allocated.
We also use this waiting period to finalize your interior design drawings.

We refine your budget (Class B) to reflect everything we know about your costs to date, including the subcontracts we can finalize using your building submission. This isn't a final number — interior design and specifications are still being finalized — but it gives you a reliable picture of where your project is tracking before construction begins.
Class B budgets are detailed estimates based on advanced design documents prepared in Step 5. This is the pre-tender budget that shows how your costs will break down before construction begins.

Our team conducts a detailed site analysis and begins preparing the property for construction.

We finalize your team of trusted subcontractors and develop the Class A budget — a comprehensive financial plan built from completed interior design drawings, confirmed specifications, and firm subcontractor pricing. At this point we have a high level of budget certainty..
Class A budgets are produced once design and specifications are fully quantified and priced. This is your most accurate cost picture — detailed enough to build from with confidence.
PHASE THREE
Construction

Throughout construction, we conduct quality inspections, provide weekly status reports, and hold regular budget review meetings so you always know where your project stands.

We complete final details, conduct a comprehensive walkthrough with you, and address any remaining items before handing over the keys.
PHASE FOUR
Aftercare

We provide you with a homeowner's binder, documentation, and warranty information. Responsibility for your home is now in your hands — but that doesn’t mean you’re on your own. If you have questions, followup, or need help with any issues that come up, we’re always a phone call away!

While we can help you determine what’s feasible and how to allocate costs, you will need to know how much you’re willing to spend. As part of your budget and financing plan, be sure to have a separate contingency fund to help cover emergencies.

Construction timelines can shift, so building in flexibility will save you stress down the road.
